NOTE: This position is located in Bala Cynwyd, PA, not Philadelphia.

The Facilities & Office Coordinator is a critical component of our company. In this role, the Facilities & Office Coordinator is tasked with creating a welcoming environment for all employees, clients, and guests and delivering quality experience. This role will support the day-to-day operations by maintaining a clean and organized environment, ensuring supplies are available and office equipment is operating properly. This team member must demonstrate the ability to execute facility and administrative duties both independently and with a sense of urgency.

The ideal candidate must be positive and proactive, anticipate the needs of others, and constantly look for opportunities to improve. Candidate must be flexible, have a strong work ethic, exhibit a service mindset and be a great communicator.

Essential Job Functions

General Office Administration

  • Acts as main point-of-contact for on-site and remote team members.
  • Welcome visitors and clients in a professional, courteous, and friendly manner.
  • Answers phones and routes calls / messages following company procedures.
  • Maintain professional, clean appearance of lobby, conference rooms, and other common areas.
  • Coordinates and procures equipment, furniture, office supplies, kitchen supplies, and team lunches/dinners.
  • General office management, including creating, updating & managing multiple calendars, scanning, printer/copier oversight, acceptance/distribution of mail/deliveries, file, and records management.
  • Manage incoming/outgoing IT equipment for traveling team members.
  • Manage product inventory, and track/record deliveries, and shipments.
  • Liaison with property management and external vendors on company needs.
  • Demonstrates professionalism in all communications (via phone, email, or in-person), including timely follow-up and follow-through on numerous tasks.
  • Assists office staff with database management, presentation materials, and special events.
  • Assists with updating the company webpage.
  • Supports recruiting department by processing and following up on participant incentives, managing fund requests for projects, and using formulas for creating call lists.
  • Responsible for data entry and quality control of incentive records.
  • Assist researchers with setting up labs and study materials.
  • Performs other duties as assigned.

Required Education and Certifications

  • Post-secondary degree/diploma or higher desired.
  • 5+ years' experience in an administrative capacity.

Required Skills and Abilities

  • Must possess ability to understand corporate operations and procedures.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must be able to establish priorities and meet deadlines.
  • Must be meticulous with exceptional time management, organization, and task management skills.
  • Must have superior client relationship management and incredible customer service skills.
  • Must have working knowledge of a variety of computer applications including MSWord, Outlook, Excel, PowerPoint, and Teams, as well as other technical software and database programs, such as SharePoint.
  • Must have ability to analyze and understand information and ideas presented in writing or communicated verbally.
  • Must be able to respond in writing or verbally to general inquiries from management, peers, clients, and external vendors.
  • Must have strong people skills.
  • Must be able to handle sensitive and confidential information.

Physical Demands, Overtime, and Travel Requirements

Work is performed in a physical office setting. This is not a remote position. The employee is frequently required to stand, walk, sit, bend, crouch, hear, and talk (must be able to speak and communicate clearly with employees). Employees may lift and/or move up to 25 pounds. Clear vision and depth perception are also necessary.

This position is salaried with a non-exempt status. Regular working hours are 8:00 am to 5:00 pm, Monday through Friday, with one hour for lunch. There will be periods where overtime (or working outside of normal business hours) will be required, which the employee will need to comply with to meet the demands of the position.

Travel Requirements - Not expected for this position.

Salary - The base salary for this position is $60,000 to $70,000 per year based on experience.
